Showroom Coordinator

A PR agency is seeking a proactive and detail-oriented Showroom Coordinator to support the Showroom Manager and team in daily showroom operations. This role is key to maintaining inventory accuracy, overseeing product pulls and returns, supporting stylist appointments, and ensuring the showroom remains organized and presentation-ready. The ideal candidate thrives in a fast-paced, client-facing environment and brings strong organizational and communication skills.
Responsibilities
Track and distribute placement information accurately.
Enter and update pull and return details in internal systems.
Maintain up-to-date product inventory and upload new product images.
Send memo emails for pulls and partial returns to ensure clear communication.
Manage all check-ins and check-outs for pulls and ensure timely returns.
Organize, unpack, and put away returns efficiently.
Merchandise and maintain showroom displays to ensure a polished, presentation-ready environment.
Oversee general organization of the showroom, count room, and check-out areas.
Monitor and restock office supplies as needed.
Manage callbacks and follow-ups with stylists for returns.
Distribute monthly activity reports and maintain team communication.
Schedule and host showroom appointments with stylists, delivering exceptional client service.
Communicate with clients on inventory availability, special requests, and product inquiries.
Manage virtual pulls — coordinate product images, client selections, and confirmations.
Coordinate outgoing shipments with couriers and ensure timely pickups.
Receive and organize incoming shipments, complete paperwork, and maintain proper documentation.
Maintain shipment cost tracking and assist with client invoicing.
Requirements
Minimum 2 years of experience in a showroom, fashion, or related environment.
Strong organizational and multitasking abilities with a high attention to detail.
Excellent written and verbal communication skills.
Proficiency in Excel and inventory tracking systems (Sparkle experience a plus).
Positive, professional attitude and ability to thrive in a collaborative setting.
